Managing SDS Sourcing Statuses
Learn how to manage the product list for the situations when J.J. Keller’s Sourcing department cannot find the safety data sheet (SDS) for a product and moves the status of the product from In Progress to Info Required or Unable to Source. These situations require the EHS personnel in your company to review, edit the product information section, and add an SDS if they have it.
Managing Products in the In Progress Status
The In Progress status means J.J. Keller is actively looking for the SDS for this product based on the information you have supplied in the product information section.
If you want to help move the process along you can:
- Review the Product Information section to confirm that the information is filled out as completely as possible.
To edit the Product Information, you should first select No under Find and Monitor, and then Save. Then, click Edit again, select Yes under Find and Monitor (don't click Save yet), and update/add any necessary information. When finished, click Save.
- If you have the electronic SDS, you can attach it.
- Click Add under the Safety Data Sheets section
- Or, click the three dots next to the product on the Product List page, and select + SDS.
- Upload the SDS file from your computer, fill out the necessary information and Save.
- Click Add under the Safety Data Sheets section
Managing Products in the Info Required Status
The Info Required status means that J. J. Keller needs more information about the product to find the SDS.
Click the three dots to the left of the product, and select View or Product Information. (If you clicked View, you will then need to click Edit underneath the Product Information section.)
To put these fields into an editable mode, select No under Find and Monitor SDS and Save.
Then, go back to the same Product Information edit screen and choose Yes under Find and Monitor (do not click save yet). Now, all fields will be editable; you can then update the information, correct spellings, add a manufacturer's part number, UPC code, etc. Once all possible information has been entered, click Save.
If you have the electronic SDS, now is the time to add that. Click Add under the Safety Data Sheets section and upload the file from your computer or network.
Managing Products in the Unable to Source Status
The Unable to Source status means that J. J. Keller cannot find the SDS for the product with the provided information. To manage the products in this status, follow the steps below.
Click on the three dots to the left of the product and select View.
Under the Safety Data Sheet section, you will see a highlighted statement letting you know the SDS was unable to be sourced.
If you do not need to have an SDS for this product, delete it from the product list by clicking Delete on the top of the page, under the product name.
If you are required to have an SDS for this product:
A) Click Edit under the Product Information section. Then, update the information as needed, change the Find and Monitor selection to Yes, and Save. This will put the product in the In Progress status, which alerts the Sourcing department to keep looking with new information.
B) If you already have the SDS, you can edit the product information as instructed in Step A, and then add the electronic SDS. Click Add under the Safety Data Sheets section. Upload the SDS file from your computer, fill out the necessary information and Save.
