Add a Driver

While adding Drivers to your FleetMentor system, you can also add detailed information about License/Credentials, Driver Qualification, and more.

 

Go to Drivers > Add/View Drivers.

Add a Driver

To add a Driver, click the Add Drivers button.

Then, you'll enter the Personal Information for the Driver which is all the basic personal details about them. Enter as much information as desired for the Driver.

Note: You can enter multiple Email Addresses and Phone Numbers for each Driver by clicking the [+] button in the respective section. The Star icon indicates which is the Primary communication method for this Driver.

Next, you'll add the Employment Information for the Driver. This area determines the Driver's Work Status (Active or Inactive), and associated Company, Location, Department, and Job Title. You can add more of these if needed right from this screen by clicking the [+] button. Otherwise, these can be added in the Manage Custom Data section of your Profile. See Company Information for resources on how to add additional information for these topics.

 

Once you're finished, click the Add Driver button.

After you click the Add Driver button, the Driver will then display in the Driver Roster. From here, you can click on the Driver's name to open their Profile and add additional details about them, if needed.

General Information

The General tab contains basic information about the Driver: Personal Information, Employment Information, Dispatch Information, Employment History, and Emergency Contacts. Click the Edit button to add/update the information in each section.

Personal Information

The Personal Information section is basic information about the Driver such as address, email address, date of birth, etc.

Employment Information

The Employment Information section includes the Driver's Location, Department, Job Title, etc.

Dispatch Information

The Dispatch Information section indicates the Driver's Employment Status, Type, approved vehicles to drive, and if they are available for dispatch.

Employment History

The Employment History section includes information about the Driver's employment with your company. Hiring Source is one of the Custom Data Fields you have under Company Information and can be added to an employee's profile from here. This is useful for tracking where your Drivers are being sourced and can be referred to when determining the best area for recruiting additional Drivers. See Hiring Source for more information.

Emergency Contacts

Add Emergency Contacts for the Driver. You can indicate whether they are Primary or Secondary Emergency Contacts. You can have multiple Emergency Contacts for a Driver but be sure to select which is the Primary when adding multiple Emergency Contacts.

License & Credentials Information

The License & Credentials tab contains Driver's License Information, Security Restrictions, Certificates, Operating Restrictions, and Custom Alerts. Click the Edit button to add/update the information in each section. (need updated image before launch)

Drivers License Information

Add basic Driver's License and Endorsement information in the Driver's License Information section. The "Commercial Driver’s License (CDL)?" field determines the requirements you will find on the Driver Qualification tab. When a Driver has a CDL license, the FMCSA has specific requirements that are not included in a non-CDL license.

Security Restrictions

Update Security Restriction information (ie. passports, FAST certifications, etc.).

Operating Restrictions

Update any Operating Restrictions, if applicable.

Certificates and Qualifications

Add any applicable Certificate or Qualification information for the Driver.

Custom Credentials

Add any applicable Custom Credentials for the Driver. If an Expiration Date is entered, you will receive an Alert/Reminder 30 days prior to the Expiration Date. (need updated image before launch)

Driver Qualification Information & Supporting Documents

The Driver Qualification tab contains Driver Qualification information and supporting documents for the Driver. Click the Edit button to add/update the information in each section.

Driver Qualification Status

Add basic Drive Qualification information in the Qualification Status section. If the driver is disqualified, you can add Disqualification Reasons right from this screen, or use the reasons you previously set up for your company. See Add Disqualification Reasons for more information.

Drug & Alcohol Testing Information

If the Driver is/is not subject to U.S. DOT Part 382 Drug and Alcohol Testing, indicate that in the Drug & Alcohol Testing section.

DQ Supporting Documents

Various supporting documents relating to Driver Qualification can be added and managed in the Driver Qualification tab of a Driver's Profile.

To upload a document, first click the Add + button in the desired Document box.

Upload the file(s) by dragging and dropping the file(s) or clicking the Browse Files button in the top section as shown in the image below. You can scan and upload up to 10 documents at one time. Keep in mind larger file sizes could be slower to upload. Add a Completed/Due Date if applicable, and click Save.

The Document box will update with the details you've added.

To manage the multiple support documents added to the Driver's file, click the Manage Document(s) button.

A list of all uploaded documents will display. From here, you can add more documents, delete documents, etc.

Note: When no document is available to upload but you want to track important DQ dates, you can click the Add Line Item button which will insert a line for you to enter a Completed Date and/or Due Date.
