Logging In and Submitting a DVIR

This article outlines the process for performing a DVIR (Driver Vehicle Inspection Report) using the Encompass® DVIR application. Users log in with credentials created in Encompass, entering a Fleet ID if it’s their first login, and accept the Terms and Conditions. Once logged in, users search for and select a vehicle, choose a pre- or post-trip inspection, and document any defects with details and photos. After completing the inspection, users enter the odometer reading and comments, then submit the inspection to the back office. This process ensures accurate reporting and tracking of vehicle conditions.

 

When the DVIR application is launched, the user will be prompted for their username and password. The username and password is created in Encompass via Setup > Mobile User Logins (see *Encompass Activation Code, Usernames, and Passwords*). Note: A FleetID will be required if this is the first time the user is logging in.  Once entered, they will not be prompted for it again.  To retrieve the Activation Code, go to Setup > Mobile Company Settings (see *Encompass Activation Code, Usernames, and Passwords*).

Fleet ID will be required if this is the first time the user is logging in.  Once entered, they will not be prompted for it again.  To retrieve the Fleet ID, go to Setup > Mobile Company Settings (see *Encompass Activation Code, Usernames, and Passwords*).
 

If this is the first time the user is logging in, they will also be prompted to Accept Terms and Conditions

The DVIR screen will then be displayed. Tap on Search for a vehicle to select the unit.

 This list of units are those entered within Encompass. If the unit is not listed here or cannot be found, then it has not been entered into Encompass.  

 

Once the unit is selected, tap the + sign in the upper right hand corner, and select either pre- or post-trip, depending on which kind of inspection is being done.

If a defect was found, select Add Defect.

Tap on the name of that defected item and enter any details and up to 4 photos. Click Save Defect when finished with that item.

On the final screen of the inspection, enter in the Odometer and Comments as necessary. Select Save & Finish. The Inspection will be submitted to the back-office.
