Navigating Timesheets

When Timesheets is enabled for one or more drivers in a company, a Timesheets link will appear in the left navigation drawer under Drivers.

 

To navigate to Timesheets:

1. Select Drivers from the left navigation menu.

2. In the drawer that appears, select Timesheets.

Note: The Timesheets link only displays when at least one driver in the company has their Hours of Service Source rule set to Timesheet Only, either at the employee level or the company level.

Both the Hours of Service tab and the Timesheets tab are visible within every driver profile. However, the ability to add, edit, or delete records within each tab is controlled by the driver's ruleset:

  • If a driver is set to Encompass ELD, add/edit/delete functionality will be disabled on the Timesheets tab. Existing timesheet records remain viewable.
  • If a driver is set to Timesheet Only, add/edit/delete functionality will be disabled on the Hours of Service tab. Existing HOS records remain viewable.

 

Timesheets Roster

The Timesheets roster displays all drivers whose Hours of Service Source rule is set to Timesheet Only, either at the employee level or the company level, regardless of whether they have existing timesheet entries.

The roster includes the following columns:

  • Name (Last, First MI)
  • Employee Code
  • Company Level
  • Employment Status
  • Job Class
  • Timesheets (count of timesheet entries within the selected date range; displays 0 if none exist)
  • Last Submitted Timesheet

The roster supports the following functionality:

  • Search — Search for a specific driver by name or other attributes.
  • Advanced Filters — Filter the roster by any available column.
  • Column Picker — Show or hide columns as needed.
  • Export to Excel — Export the current roster view to an Excel file.
  • Pagination — Navigate through multiple pages of results.
  • Date Range Picker — Filter the roster by a date range. Defaults to the last 30 days.

The roster is sorted by default in descending order by the Timesheets count (highest to lowest). Ties are broken first alphabetically by name, then by employee code.

Adding a Timesheet from the Roster

Users with add permissions can initiate a new timesheet entry directly from the Timesheets roster in two ways:

  • Click the Add New button at the top of the roster.
  • Hover over a driver's row and click the Add Timesheet icon that appears.

Viewing a Timesheet Entry Detail

To view the full detail of a specific timesheet entry, including all individual clock in and clock out events:

From the driver's Timesheets tab, click the Date of the timesheet entry you want to view.

The Timesheet Entry Detail page displays:

  • A date navigator to move between different timesheet entry dates.
  • A Clock In/Out section showing all individual clock in and clock out events, with the following columns:
    • Status
    • Time
    • Duration
  • An Edit button to open the Edit Timesheet modal.
  • An Export to Excel button to download the entry detail. The file will be named: Timesheet Entry Detail [Employee Name] [Date].
  • A collapse/expand control to show or hide the Clock In/Out section.

A Notes section displaying any notes saved with the entry.
