Import Driver

Overview

The Driver Import allows you to add multiple Drivers to your FleetMentor account at once using a CSV file. The process has 3 steps:

  1. Download the Import Template from the Import Drivers drawer opened in one of these ways:

  1. Fill in your Driver data in the template referencing these requirements: Field Reference Guide.
  2. Upload back into the Import Drivers drawer.

 

Important: Download the official template from FleetMentor each time before starting. Do not create your own file or reuse an old template — column order and headers must match exactly.

Preparing Your CSV File

File Requirements

  • File must be saved in CSV (.csv) format. Do not upload Excel (.xlsx) files.

  • 1 Driver per row.

  • Do not add, remove, or reorder columns.

  • Column headers must remain exactly as they appear in the template — do not rename them.

  • The file must contain at least 1 data row (not counting the header row).

 

Required Fields

The following 7 fields must have a value in every row. If any required field is blank, that row will not import.

  • LastName – Column A

  • FirstName – Column C

  • Department – Column F

  • Company – Column G

  • Location – Column H

  • JobTitle – Column I

  • WorkStatus – Column L

 

Formatting Rules

  • Dates – Use MM/DD/YYYY format (e.g., 03/15/1985). Dates must fall within 100 years of today in either direction. A date too far in the past or too far in the future will cause the row to fail. Date of Birth must be a past date.

  • Yes/No Fields – Accept only Yes or No. Do not use Y, N, 1, 0, or any other variation.

  • License Number – Must be between 5 and 30 characters. Values fewer than 5 characters will fail.

  • State/Province fields – Use standard 2-letter abbreviations only (e.g., WI, TX, ON).

  • Text fields – Do not exceed the maximum character length for each column. See the Field Reference Guide below.

  • Leave optional fields blank rather than entering placeholder values such as N/A or TBD.

 

Step-by-step Import Instructions

  1. Navigate to the Import Driver drawer.

  2. Click Download Template and open the file in Excel or another spreadsheet application.

  3. Enter your Driver data — 1 Driver per row — following the Formatting Rules below.

  4. Save the file in CSV (.csv) format.

  5. Return to Import Driver drawer.

  6. Select Browse Files, locate the CSV file, and select Open or drag and drop file in the drawer.

  7. Select Import after the document has been uploaded.

  8. As you continue your work in FleetMentor, once the import process has finished, you will receive one the following prompts:

  • If Successful – Your Drivers will be viewable in the Drivers area.

  • If Error – Download the error report by selecting ‘here’. Errors will be noted in Column A of the error file.

Note: If your import file errors, correct any errors in the original file OR make the changes in the error file before you delete the Error column (Column A), re-save the document, and repeat steps 5-7.

Field Reference Guide

The table below describes all 41 columns in the Driver Import Template in the order they appear. Do not change the column order in your file.

 

Required fields are highlighted in red in the Required column.

Indicates a driver’s current employment or service classification within the organization.

LastName Yes Text, max 30 characters. Driver's legal last name. No special characters.
B Suffix No Text, max 10 characters. Examples: Jr., Sr., II, III.
C FirstName Yes Text, max 30 characters. Driver's legal first name. No special characters.
D MiddleName No Text, max 30 characters. Middle name or initial. Leave blank if not applicable.
E ShortName No Text, max 30 characters.

Preferred display name or nickname, if applicable.

F Department Yes Text — must match an existing Department Name in FM 2.0. If an entered value doesn't exist, FleetMentor will create it automatically.
G Company Yes Text — must match an existing Company Name in FM 2.0. If an entered value doesn't exist, FleetMentor will create it automatically.
H Location Yes Text — must match an existing Location Name in FM 2.0. If the value doesn't exist in your account, FleetMentor will create a location automatically. Exception: a Location paired with the wrong Company will cause the row to fail.
I JobTitle Yes Text — must match an existing Job Title in FM 2.0. If an entered value doesn't exist, FleetMentor will create it automatically.
J EmployeeID No Alphanumeric, max 15 characters. Your internal Employee ID, if applicable. Must be unique if provided.
K DOB No Date: MM/DD/YYYY. Date of Birth. Used for age verification and compliance tracking.
L Work Status Yes Active or Inactive Must match one of the accepted values exactly.
M SSN No ###-##-#### or #########. Social Security Number. Stored encrypted. Hyphens optional.
N HireDate No Date: MM/DD/YYYY. Date the Driver was hired by your company.
O AddressLine1 No Text, max 100 characters. Street address.
P AddressLine2 No Text, max 100 characters. Apartment, suite, unit, etc. Leave blank if not applicable.
Q City No Text, max 50 characters.  
R StateProvince No 2-letter state abbreviation (e.g., WI, TX, CA). Use standard U.S. state codes. For Canadian provinces, use standard 2-letter codes (e.g., ON, BC).
S Zip/Postal No ##### or #####-#### (U.S.) / A#A #A# (Canada).  
T Country No US, CA, or MX  
U PrimaryPhoneNumber No 10-digit number: ##########. No dashes, spaces, or parentheses. Example: 9205551234.
V PrimaryEmailAddress No Valid email address format. Must include @ and a valid domain. Used for notifications and training enrollment.
W DriverStartDate No Date: MM/DD/YYYY. Date the Driver began driving for your company. May differ from Hire Date.
X LicenseNumber No Alphanumeric, max 20 characters. Driver's License Number as printed on the license.
Y IssueState/Province No 2-letter state or province abbreviation. State or province that issued the Driver's license.
Z LicenseExpDate No Date: MM/DD/YYYY. Expiration date on the Driver's license. FM 2.0 will trigger alerts based on this date.
AA EnhancedDriversLicense No Yes or No. Indicates whether the Driver holds an Enhanced Driver's License (EDL).
AB LicenseClass No Text, max 25 characters. License class as shown on the Driver's license.
AC CDLLicense No Yes or No. Indicates whether the Driver holds a Commercial Driver's License (CDL).
AD QualificationStatus No Qualified, Not Qualified, or Pending. Driver qualification status for DOT purposes.
AE MultipleEmployeeDriver No Yes or No. Indicates whether the Driver is shared across multiple employing entities.
AF ExceptedPart391 No Yes or No. Indicates whether the Driver is excepted from FMCSA Part 391 qualification requirements.
AG DOTTesting No Yes or No. Indicates whether the Driver is subject to DOT Drug and Alcohol Testing.
AH MedCertDueDate No Date: MM/DD/YYYY. Medical Certificate Expiration Date. FM 2.0 will trigger alerts based on this date.
AI MVRDueDate No Date: MM/DD/YYYY. Motor Vehicle Record Review Due Date. FM 2.0 will trigger alerts based on this date.

AO DriverType No Dedicated, Local, Not a Driver, Over the Road, or Regional. Classification of the Driver's employment arrangement.
