Encompass ELD Fleet ID, Usernames, and Passwords
Before the below steps can be completed, the drivers must be added in Encompass to the Employee/Driver roster. See: Adding an Employee/Driver
Before a driver can log into the Encompass® ELD application for the first time, they will need to be provided a username, password, and Fleet ID. These are set up in Encompass via Settings.
Once in Settings, find the Encompass® ELD Settings section. Here, there are three areas that pertain to this topic: Mobile Company Settings, Mobile User Logins, and Mobile User Logins - Add Multiple.
Mobile Company settings
When a driver logs in for the first time, they will need to enter a Fleet ID in the app before getting to login screen. The purpose of the Fleet ID is for Encompass® ELD to identify the appropriate Encompass account to send and receive data from/to. Fill this information out as you see fit.
The first field on the Mobile Company Settings page is for the Fleet ID. If the field is blank, please enter a Fleet ID for your company and click Save at the bottom of the page.
Note: The Fleet ID must be unique, as it is used to distinguish your company from all other companies.
Best Practices: This should be something related to your company name or location (i.e. Company name is ABC Trucking, so a possible Fleet ID could be 'ABC'). Make the Fleet ID something simple for your drivers.
Mobile User logins
In order to login to Encompass® ELD, drivers are going to need a username and password. Usernames and passwords are set up/found in Mobile Users Logins. Any existing logins will be shown here. To add a new login, click Add New.
1) Next, search for the employee the Encompass® ELD login should be created for.
- Note: Only drivers that have been added to Encompass will be shown here. If the employee has not been added to Encompass yet, please see this article: Adding a Driver/Employee.
2) Enter a Username and Password for the driver; re-enter the password to confirm.
3) If you would like the driver to change their password the next time they login, check the box to the right of that option.
4) Is Active? should remain toggled on for all active drivers who are ELD application users.
5) Enter the driver's license information for the driver
- Note: The Expiration Date must be in the format MM/DD/YYYY. To ensure proper format, use the calendar icon to the right of the field to select the date.
Driver Forgot ELD App Password
If the driver forgot their password, you can reset it via Encompass. On the Mobile Users Login page, hover over the driver and select Edit Password. Enter a new password and save; ensure you inform your driver of their new password.
Mobile user logins - add multiple
Encompass® ELD usernames and passwords can be added in bulk by using the Add Multiple tool.
The first page allows you to filter for particular employees added to Encompass. Use the specific fields to narrow down your results, if you wish.
To retrieve a list of all employees, you can select Include All Drivers. You can also select options to sort your list to your preferences.
Click Get List when all filters and selections have been set.
The usernames and passwords will be then be generated based on the information selected on the previous screen. Select the format you would like your driver's usernames/passwords to follow. (ie. Username could be the Employee Code, Password could be formatted as FirstnameLastname). Leave the toggle on if the driver should change their password the next time they login.
A list of the drivers that were returned based on the selected filters on the previous screen is displayed at the bottom. Either select the particular drivers or Select All of the drivers. Click Save.
Note: Drivers license information must be entered for the employee in the Employees area in order to be able to generate a username and password for them.
