Safety Performance History Attachments

Applicant DIHF Attachments

When using the Safety Performance History functionality in Encompass's hiring process, responses from the applicant's previous employer(s) will need to be attached.  The responses need to be stored in the applicant's Driver Investigation History File (DIHF). If the applicant is hired, all of the information is carried over into the employee file.

 

Note: There is only one way to attach the SPH forms before the applicant is hired. To attach a SPH form from a previous employer:

  1. Open the applicant's file
  2. Go to the Previous Employer section of the applicant's file
  3. Click the previous employer's name
  4. Select Add New... next to the Applicant DIHF Attachments.
  5. Enter a Name for the document that is being attached. Optionally, the date can also be entered.
  6. Select the Form Type (SPH Accident or SPH Drug and Alcohol). If the form contains both, either option can be selected.
  7. Select Browse to point to the saved document on the user's computer or network
  8. Select Save to finish or Save & Add New to attach another file to the employer. Repeat this process for other previous employers.

 

For newly hired employees or applicants that did not come through the Encompass hiring process, see the next section.

 

Existing Employee DIHF Attachments

For newly hired employees and applicants that do not come through the Encompass® hiring process, SPH responses from the applicant's previous employers need to be attached to the employee's Driver Investigation History File (DIHF).

 

To attach a SPH form from a previous employer:

  1. Open the employee's DQ file by going to Driver Management > Driver Qualification and clicking on the Employee's name.
  2. Click on Drivers Investigation History File under Common Tasks.
  3. Select the previous employer's name.
  4. At the Safety Performance History Information section, click on Add Attachment...
  5. Enter a Name for the document that is being attached. Optionally, the date can also be entered.
  6. Select the Form Type (SPH Accident or SPH Drug and Alcohol). If the form contains both, select either of the option can be selected.
  7. Select Browse to point to the saved document on the computer or network.
  8. Select Save to finish or Save & Add New to attach another file to the employer. Repeat this process for other previous employers.
